The Honest Problem Nobody Wanted to Say Out Loud
I've had the same conversation dozens of times over the past few years.
A business owner — usually running a thriving Facebook page, loyal customers, 50 to 200 orders a day — sits across from me with a familiar look. Not desperation. Exhaustion.
They've already tried the "proper" solution. They paid a developer. They got a WooCommerce site. It worked for three months. Then it didn't. Inventory numbers stopped making sense. Orders duplicated. Staff were confused about what stock was where. And when they went back to the developer — the same one who collected full payment — the answer was: "You need a rebuild."
That conversation is why we built Waafi Ecommerce.
Not because the market needed another e-commerce platform. It needed the right one — built for Bangladesh's f-commerce operators and SME business owners, not adapted from a Western SaaS product with a Bangladeshi price tag slapped on it.
Let me walk you through what we actually built, and why every decision was made the way it was.
🤖 AI Automation That Works While You Sleep
This is the feature I'm most proud of — not because it's impressive on a slide deck, but because it directly puts money back into our clients' businesses without them having to think about it.
Abandoned Cart Recovery
Every e-commerce business hemorrhages revenue through abandoned carts. Someone adds your product. Gets distracted. Leaves. And you never see them again.
Waafi Ecommerce's abandoned cart recovery runs automatically in the background. When someone abandons their cart, they receive a personalized email within minutes — not a generic "you left something behind" template, but an AI-generated message referencing the specific products they left, tailored to your brand's tone. If they don't open the email within a few hours, an SMS follows.
Our clients are recovering 12–19% of abandoned orders from this workflow alone. On a business doing 3,000 taka average order value and 100 abandoned carts a month, that's 36,000–57,000 taka in recovered revenue — from a workflow that required zero manual effort after initial setup.
Dormant Customer Re-engagement
Your best customers are the ones who already bought from you. But most f-commerce businesses have no system to track when a loyal customer goes quiet — let alone re-engage them.
Waafi Ecommerce automatically identifies customers who haven't placed an order in a configurable window (default: 60 days). It then analyzes their purchase history and generates a personalized re-engagement offer — not a generic 10% off blast, but a targeted offer based on what they actually bought before. The whole thing runs without any manual input from your team.
Intelligent Courier Routing
Manually booking couriers is one of the biggest time sinks in any fulfillment operation. Your staff looks at the delivery address, decides which courier, goes to their website, enters the order details, generates a waybill. For 100 orders a day, that's hours of repetitive work.
Our AI-powered courier routing evaluates the delivery address, compares available courier options (Pathao, Steadfast, RedX), weighs their delivery times and costs, and automatically selects and books the optimal one. Staff involvement: zero.
AI Stock Replenishment Prediction
Running out of stock on your best-selling product is one of the most expensive mistakes in e-commerce. Running out right before Eid? Even more costly.
Our inventory AI analyzes demand patterns, seasonal trends, recent sales velocity, and current stock levels — then gives you a prioritized reorder list with quantities. No more gut-feel inventory decisions. No more waking up on a Saturday to find you sold out of your hero SKU on Friday night.
AI Sale & Clearance Recommendations (Claude AI)
Slow-moving stock is dead capital. Every taka tied up in inventory that isn't selling is a taka that can't be reinvested. Waafi Ecommerce uses Claude AI to analyze your stock ageing data and recommend specific discount percentages for specific SKUs — with urgency scoring and supporting reasons. Move dead stock before it becomes a write-off.
🛡️ Enterprise Security That Actually Means Something
When I talk to clients about security, I often get a polite nod and a subject change. Security feels abstract — until the day it isn't.
Several clients came to us after experiencing inventory manipulation by a disgruntled staff member. Others had their admin accounts compromised. One client had their entire product catalog prices changed overnight. These aren't hypothetical risks. They happened.
We built Waafi Ecommerce's security framework in layers, not as an afterthought:
Cloudflare Turnstile — Bot Protection on Every Form
Every public-facing form in Waafi Ecommerce — login, registration, checkout, contact — is protected by Cloudflare Turnstile. This silently verifies that the person interacting with your store is a human, not an automated script. It stops credential stuffing attacks, fake account creation, and checkout bots without friction for real customers.
Per-IP Rate Limiting
If someone or something is hammering your login page with repeated attempts, our Redis-based rate limiting detects the pattern and automatically throttles — then blocks — that IP address. This stops brute-force attacks cold without any manual intervention.
Dynamic IP Block List
Admins can manually block specific IP addresses, or the system can trigger automatic blocks based on detected abuse patterns. Every block has a configurable expiry — temporary ban for minor infractions, permanent block for serious threats.
Granular Permission-Based Access Control
This is the security feature most e-commerce platforms get completely wrong. "Admin vs. staff" is not access control. That's a coin flip.
In Waafi Ecommerce, every user has individually configured permissions for every system action — can they create products? Can they see cost prices? Can they modify inventory? Can they process refunds? Can they view accounting data? Each permission is set individually per user. The admin panel itself renders only the UI elements that user has permission to see — a staff member without inventory access doesn't see the inventory menu at all.
SHA-256 Activity Audit Log
Every security-relevant action in the system is logged — login attempts, permission changes, order modifications, inventory adjustments, payment verifications, product price changes. The IP address of every event is stored as a SHA-256 hash (never the raw IP — we protect your users' privacy). If something goes wrong, you have a complete, tamper-evident trail of exactly what happened, when, and by whom.
Real-Time Staff Session Management
As a business owner or manager, you can see every active session for every staff member right now — what device, what time they logged in. And you can terminate any session remotely, instantly. If someone who shouldn't have access is in the system, you can log them out in seconds.
🔍 Real-Time Fraud Detection That Pays for Itself
This feature was born from a very specific, very Bangladeshi problem: fake COD orders.
The pattern is simple and devastating. Someone places a cash-on-delivery order with a mobile number that has a history of refusing deliveries. The order looks legitimate. Your team processes it, packs it, hands it to the courier. The courier makes the delivery attempt. The "customer" refuses. The package comes back. You've paid for packing, courier pickup, delivery attempt, and return — and made zero sales.
At scale — 20 to 30 of these per month — this is tens of thousands of taka in pure loss.
Waafi Ecommerce's fraud detection system queries Pathao, Steadfast, and RedX's delivery history databases for every new order's phone number. It analyzes:
- Total delivery attempts across all three networks
- Successful delivery rate
- Cancellation rate
- Refusal patterns
It computes a 0–100 safety score with a risk classification (LOW / MEDIUM / HIGH). High-risk orders are flagged automatically on the order detail page so your team can make an informed decision before processing — call the customer first, require prepayment, or simply cancel and avoid the loss entirely.
Our clients using this feature have seen a 15–22% reduction in failed COD deliveries in the first month. The time saved on processing fake orders alone often covers the cost of the platform.
📊 Accounting That Shows You What You Actually Made
Here's a question I ask every prospective client: "Do you know your actual profit for last month?"
Revenue? Almost everyone can answer that. Actual profit — after cost of goods sold, courier fees, payment gateway commissions, COD collection charges, returns, and applicable taxes? Almost nobody can.
That's not a criticism. It's a systemic failure of the tools they've been given.
Waafi Ecommerce implements double-entry bookkeeping automatically for every transaction. When an order is placed:
- Revenue is recorded
- Cost of goods (using Weighted Average Cost methodology) is debited
- Shipping cost is recorded
- Payment gateway fee is applied
- COD collection charge is applied (if applicable)
- Tax is calculated and recorded
Every entry is immutable — once committed, it cannot be altered. This gives you a profit-and-loss statement that your accountant can actually trust, broken down by product, category, time period, or sales channel.
For the first time, clients can answer questions like: "Which of my 200 products is actually profitable after shipping?" and "Did my Eid campaign generate profit, or just revenue?" The answer changes business decisions fundamentally.
🏭 Multi-Warehouse Inventory That Doesn't Lie to You
Inventory management is where most e-commerce platforms reveal they were built by engineers who've never run a warehouse.
They track "quantity in stock." That's it. One number. No concept of stock that's been reserved for an order but not yet shipped. No concept of stock in transit between locations. No concept of damaged stock. No concept of returned stock waiting for inspection.
Waafi Ecommerce uses a 7-bin stock model:
- Available — ready to sell
- Reserved — allocated to a confirmed order, not yet shipped
- Committed — contractually allocated
- In Transit — moving between warehouses
- Damaged — not sellable without further action
- Returned — received back from customer, awaiting inspection
- Quarantine — held pending quality review
At any moment, you can see exactly where every unit is, across every warehouse. Transfer orders between locations flow through a proper approval workflow (pending → approved → shipped → received), and every movement generates an immutable audit record.
For perishable or time-sensitive products — food, cosmetics, medicine — our batch/lot tracking system records manufacture dates and expiry dates per warehouse, and automatically sorts fulfillment using FEFO (First Expiry, First Out). You stop selling products that are about to expire before products with longer shelf lives — automatically.
Our clients saw their inventory discrepancy rate drop from an average of 18% to under 0.5% within the first 90 days of deployment.
⏱️ How Waafi Ecommerce Reduces Your Staff Cost & Time
This is the ROI conversation that changes minds fastest.
Every manual process in your operation has a cost. Not just in salary — in errors, delays, inconsistency, and the cognitive load on your team that slows everything else down. Here's what Waafi Ecommerce automates that you're currently paying people to do manually:
| Manual Process | Waafi Ecommerce Automation | Time Saved |
|---|---|---|
| Booking couriers for each order | AI courier routing — automatic selection & booking | 2–4 min/order |
| Chasing abandoned cart customers | Automated email & SMS sequences | Unlimited (runs 24/7) |
| Counting & reconciling stock | Real-time 7-bin inventory tracking | 3–5 hrs/week |
| Checking if COD customer is legitimate | Automated fraud score on every order | 5–10 min/order |
| Calculating monthly profit | Real-time double-entry P&L dashboard | Full day/month |
| Following up dormant customers | AI-powered re-engagement workflows | Unlimited |
| Printing barcode labels | Bulk PDF barcode export (quantity-wise) | 1–2 hrs/run |
| Deciding what to restock | AI replenishment predictions | 2–4 hrs/week |
Our clients report an average of 6+ hours saved per week per merchant — and that's a conservative figure. For businesses with dedicated operations staff, the reduction in manual workload often means one fewer hire, or redeployment of existing staff to higher-value tasks.
📦 Order Management Built for How F-Commerce Actually Works
F-commerce businesses don't just receive orders through a website. They get them on Facebook Messenger, on WhatsApp, on the phone, in person. Any order management system that ignores this reality is ignoring how the majority of Bangladeshi e-commerce actually operates.
Waafi Ecommerce's manual order creation tool lets your team log any order — WhatsApp, phone, in-person — directly into the system with full customer information, source tracking (Facebook, Instagram, WhatsApp, in-store), product selection, coupon application, and payment status. The order then flows through the same automated pipeline as a storefront order: inventory reservation, courier booking, tracking updates.
Every order that enters the system moves through a clear state machine: Pending → Confirmed → Processing → Shipped → Out for Delivery → Delivered. Context-aware action buttons at each step guide your team through what to do next, without needing to remember a process document. Returns flow through their own workflow with item-level condition tracking (GOOD / DAMAGED), automated refund calculation, and restocking fee management.
📣 A Marketing Stack That Doesn't Require a Marketing Team
Running promotions on most platforms means logging into multiple tools — a coupon generator here, a campaign manager there, an email platform somewhere else, a banner upload tool you've half-forgotten the password to.
Waafi Ecommerce consolidates the entire marketing operation:
- Coupon engine — percentage, fixed amount, Buy X Get Y, free shipping — with usage limits, minimum order thresholds, and per-customer restrictions
- Campaign builder — 14 campaign types (Flash Sale, Eid, Black Friday, Product Launch, Seasonal, and more) with scheduled start/end and countdown timers that restore original prices automatically
- Customer segmentation — rule-based automatic segments that refresh themselves (VIP customers, recent buyers, dormant users, etc.) — no manual list management
- Announcement system — 8 placement types including exit-intent popups, top/bottom bars, modal overlays, and showcase grids — with frequency controls (show once, once per day, until closed)
- Banner management — desktop and mobile image variants for 6 placement types, with click tracking and performance analytics
- Combo deals — bundle products with custom pricing and savings display
- Curated collections — themed product groups (New Arrivals, Bestsellers, Sale, Seasonal) with their own storefront display
- SEO blog — rich-text editor, category/tag taxonomy, author attribution, scheduled publishing, full SEO metadata control
- Newsletter — subscriber management with purchase-history segmentation, send via integrated email provider
Every marketing action generates trackable performance data — views, clicks, conversions, revenue — in a unified marketing analytics dashboard with custom date ranges and period comparison.
📡 Server-Side Analytics: The Tracking Setup Most Agencies Get Wrong
Paid advertising on Facebook and Google is one of the primary growth channels for Bangladeshi e-commerce. But most stores are flying blind — their tracking is broken, their attribution is wrong, and their ad optimization signals are weak. They're spending on ads and wondering why the ROAS doesn't match what they expected.
The cause, almost every time: client-side only tracking. Ad blockers, iOS privacy changes, browser restrictions — all of these silently corrupt your conversion data. If 30% of your customers are using an ad blocker, your Facebook Pixel is missing 30% of your purchase events. Your campaign optimization is working from garbage data.
Waafi Ecommerce implements dual client+server tracking for every major platform:
- Google Analytics 4 — client-side tag + server-side Measurement Protocol purchase events. 100% order attribution regardless of ad blockers.
- Facebook Conversions API — server-side purchase events with proper deduplication against client-side Pixel events. Maximum signal quality for Meta's campaign optimization.
- TikTok Events API — server-side events alongside the client-side pixel, matching TikTok's recommended implementation for commerce advertisers.
- Microsoft Clarity — session recordings and heatmaps for understanding how customers actually navigate your store and where they drop off.
When your tracking is correct, your ad campaigns optimize correctly. When your campaigns optimize correctly, your cost per acquisition drops. This is not a small thing — it compounds over every taka you spend on paid traffic.
🚀 The Technical Foundation: Built to Scale Without Rebuilding
A platform is only as good as its foundation. Here's what Waafi Ecommerce is built on, and why each choice was deliberate:
- Next.js 16 + React 19 — Server Components for fast initial loads, client-side interactivity where needed, Suspense streaming for instant dashboard rendering. Lighthouse scores: 96/100 desktop, 91/100 mobile.
- PostgreSQL — Purpose-built relational schema for e-commerce. Not a generic schema with e-commerce bolted on. Products, variants, orders, inventory, accounting entries — all designed correctly from day one.
- Redis — Session persistence (your cart survives closing the browser tab), real-time rate limiting, fraud check token caching, catalog data caching for flash sale traffic spikes.
- Cloudflare R2 — Zero-egress object storage for all product images, invoices, and media. Costs scale with catalog size, not with traffic — critical when you're running a campaign that goes viral.
- n8n + Claude AI — Workflow automation orchestration with AI integration. Abandoned cart sequences, re-engagement campaigns, courier routing, stock predictions — all run as automated workflows that require no manual trigger.
- Prisma ORM — Type-safe database access with migration management. Every schema change is tracked, reversible, and safe.
The Result: What Changes When You Have the Right Platform
I want to be direct about what changes when a business moves to Waafi Ecommerce, because I've watched it happen repeatedly.
The first thing that changes is visibility. You stop making decisions based on feelings and start making them based on data. You know your actual profit margins. You know which products are selling well and which are eating warehouse space. You know which customers are worth retaining and which orders are likely fraud.
The second thing that changes is time. The hours your team spent on manual courier booking, manual inventory counting, manual follow-up messages — those hours compress dramatically. Your staff can focus on work that actually requires human judgment.
The third thing that changes is growth capacity. When your platform can handle multi-warehouse operations, multiple staff members with appropriate access controls, and automated marketing at scale — adding a new warehouse, hiring new staff, or running a major promotional campaign stops being a technical project and starts being a business decision.
We built Waafi Ecommerce because we believe Bangladeshi entrepreneurs deserve software that treats their business seriously. Not a theme. Not a plugin collection. Not a system that works until it doesn't.
Real software. Enterprise-grade. Built for the market it serves.
